1. Consultations

Our first consultation meeting sets the ground work for the success of your wedding event.  At this meeting we will ask important questions of the couple, individually and together, in order to learn the key elements that best reflect our clients’ needs and aspirations.  This meeting is preferable in person, but can also take place over zoom if travel distance prohibits.  We will take the time to get to know you both, understand your personalities, requirements, initial ideas and overall expectations.  Some of the many discussion points during our meeting include:

  • Initial ideas, vision and theme
  • Ceremony & reception location
  • Wedding style and design outcome
  • Three most important elements that will make it truly fabulous 
  • Guest count
  • Overall budget
  • Must haves, and have nots

From here we will provide you with our full proposal, including a consultation overview, projected costs and our detailed design and production fee.

2. Planning & Design

Upon approval of our proposal, and with contracts signed YOU will begin to relax, and WE will get to work planning your dream wedding.  We continue to collaborate with you closely in order to refine our original ideas into a fully formed concept.  Once you have agreed on a design concept we will begin recommending creative partners who support your vision and budget.  Creating your “wedding team” is vitally important and must be the first task to accomplish.  After the entire team is in place you can exhale and allow yourself to be excited as the vision begins to take shape.  At every step of the way, our clients are completely in charge.  This is YOUR wedding, not ours.  We are here to advise, design and produce with our wealth of knowledge, experience and professional contacts.

Here is a small list of the areas that we cover during the planning and design phase:

  • Venue sourcing and site visits
  • All creative partner sourcing and meetings
  • Advice on establishing a wedding website
  • Assistance with choosing wedding attire for the couple and their wedding party and family
  • Development and management of the budget, including a full budget timeline
  • Assistance with choosing appropriate guest lodging and arranging for room blocks
  • Assistance with sourcing transportation needs – everything from vintage limos, to mini-coaches and full coach buses
  • Establish a color scheme, aesthetics and production details
  • Provide mood boards, proposed layouts and visualizations and conceptual renderings
  • Etiquette advice, assistance with vows, readings, music and speeches
  • Stationery design, production and RSVP management
  • We will attend supplier meetings with you, or on your behalf
  • Review all creative partner proposals, quotes and contracts
  • Produce detailed timelines, overall and by vendor
  • Plan, design and manage any pre or post wedding activities and events
  • General wedding administration for you and your guests
  • Assistance with designing and creating guest welcome bags, favors, and other special touches
  • Confirm all suppliers details, arrival and departure times, and special needs
  • Organize and produce the wedding rehearsal

3. Management & Production

First and foremost, it is a wedding planner’s job to expect the unexpected.  As we move towards the finish line, we anticipate and plan ahead for any potential glitch in order to execute your perfect event.  The hundreds of hours that have already gone into the planning and design phase are now ready for execution.  At this stage we are confident that all the details are sorted and ready to be brought to life on your wedding day.

On the day of your wedding our team will be as busy and as excited as ever, setting up and managing the whole day on your behalf.

Some of the tasks and activities that we will be working on for you are:

  • We will be the first team onsite, providing full management from the very start until the very end
  • We will supervise and manage, set up, break down, and tidying
  • We will implement your approved design throughout
  • We will be available to assist all creative partners to ensure fulfillment expectations are met
  • We will communicate with musicians & entertainers, including attending all sound checks and sign off on setup
  • Sign off on all supplier arrivals and set ups
  • Brief, communicate and manage all staff on site 
  • Organize and produce the wedding party processional
  • Check in with the couple throughout the wedding to ensure satisfaction and special requests
